Two counters, one receipt sequence, no gaps
Ecole is school ERP software in Kukatpally, Hyderabad: school management software for a fee counter in its busiest week, from a school software company based in Hyderabad. When two accountants are both taking payments in the first week of term, Ecole gives out receipt numbers that are gapless, per school, per academic year, even when both counters record a payment in the same second. Each school keeps one counter for the year; a receipt number is only handed out once the payment behind it is actually recorded, so a failed payment returns its number rather than burning it.
What is owed, and who can adjust it
Ecole does not keep a running balance for a student that can drift out of sync with reality. What a family owes is calculated at the moment somebody asks, from the fee heads (tuition, transport, books, exam, uniform), the instalments due so far, and any concession already approved. An accountant at either counter sees the same number for the same child at the same moment.
An accountant can grant the concessions a school treats as routine, staff ward, sibling, RTE, on the spot. Anything discretionary or merit-based needs a principal's or correspondent's approval first. Every concession, whichever counter it is granted at, carries a reason and the name of whoever approved it, so a busy week does not turn into a week nobody can account for later.
Closing the day, and reaching the family who owes
Each accountant closes against their own day-book at the end of the day, split by payment mode, cash, UPI, cheque, bank transfer, so the cash in the drawer can actually be counted against it. The day's transactions export in a Tally-compatible format. A defaulter list carries the phone number to ring, and an accountant can find any student by name from either counter.
The same day-book works whether one counter is open or two, and whoever is taking money that day, the accountant, the front office, the principal or the correspondent, closes against it the same way. A payment is never edited or deleted afterwards; a mistake is corrected with a reversal that points back at the original, the same trust rules that apply everywhere Ecole runs, so the busiest week of term still leaves a clean record behind it.
